Open Enrollment Planning
Create the business plan for the period, generally August through January. Set up and facilitate ongoing meetings with stakeholders in the process, internally and external. Draft the employee communications and propose the delivery schedule. Update employee facing documents and company intranet content.
HEALTH & WELFARE Renewal Negotiation
Prior to open enrollment, Rose will be a part of the renewal process with your broker to understand the current cost trend and plan utilization. Once we have analyzed all the renewal cost and mandatory changes from current carriers, Rose will prepare an internal plan for internal open enrollment.
New plans implementation
Work with internal cross functional teams to communicate the upcoming implementation through meetings and conference calls. Create a roadmap for the implementation to include resources and the overall timeline. Set up ongoing meetings with internal stakeholders and external resources at various periods in the timeline. Draft employee communications and work closely with the local resource or HR Business Partners to capture cultural nuances along the way.
Vendor management
Draft vendor service agreements for each provider and communicate each agreement with that provider to understand their limitations and how to work within the confines of your expectations. These agreements will contain measurable criteria. Each agreement can be reviewed by Rose or your internal team at regular intervals.
International plans design & implementation
International benefits leveling is a large scale project which involves; 1. taking inventory of current plans across your locations, 2. Understanding your internal total rewards philosophy and how it impacts how much you want to offer, 3. Identifying where you have opportunities to make enhancements in various locations 4. Utilizing local and global benefits survey data to validate the current market trend in your industry, 5. Preparing a proposal to capture this information and recommend which country locations to begin implementation.
Once the benefits leveling project is complete, RFPs can be requested, internal approvals can be requested and implementations can begin.
Multinational pooling administration
Rose will identify the companies that you want to secure a proposal from based on your international population. She will consolidate the information into one internal proposal and identify the cost benefits and risk associated with each option. Rose will draft the employee communications to socialize any upcoming changes to the current plans. The implementation process for plan changes will follow my workflow as any new implementation.
Leave of absence administration
Track current and upcoming leaves. Primary contact for employees who have questions about their leave. Update LOA forms, templates and policies as appropriate. Monitor the documentation process flow or create a process if none exists. I am responsible for communicating approvals, denials, return to work and other important information to team members. Rose can also work on implementations if you wish to outsource your LOA administration.
Benefits budget planning
Prepare a cost analysis for your organizations annual spend to include anticipated increase year over year. Rose can prepare various models per employee which becomes a welcome tool for your Finance team.
RFP process
Rose will work with your broker to prepare an RFP that captures your organizational objectives and nuances. A well-structured RFP will prepare potential vendors in advance to create pricing, service teams and concessions with their first offer.
Mergers, Acquisition & divestitures
Provide advance consideration of how benefit plans can be handled in a transaction. Identify plans or design alternatives available during acquisition or divestiture. Highlight benefits and risks associated with merging, amending or dissolving plans in transaction.
Retirement plans management & administration (DC & DB)
Work with your retirement vendor on daily administration, plan funding and employee initiated requests. Prepare plan analysis for committee review. Organize and initiate non discrimination testing data. Prepare and distribute mandated employee communications and disclosures.
Writing employee communications
Draft your employee benefits communications about open enrollment, plan changes, wellness, retirement plans.

Point of contact for the benefits team during an HRIS migration. Define and validate benefits data. Ensuring that the new system processes are in accordance with benefit plan contracts. Create end user documentation for new benefits functionality.
Department of labor audits
Acting at the primary contact during your DOL retirement or ACA audit. Clarify the scope of the audit for purposes of preparation. Prepare and preview the requested documents in advance. Identify areas at risk.
Writing audit controls
Drafting plan preventative and detective controls to identify errors after they have occurred, or discourage fraud. These are plan operational responsibilities which are not outsourced to your vendors.
